The Executive Assistant assists the Chief Executive Officer and the Leadership Team in fulfilling the mission, vision, and values of the Center by providing administrative support in a thorough, efficient, professional, and courteous manner. This is an exciting opportunity to work with external stakeholders as well as internal staff.

The Executive Assistant will develop an overall understanding of Center’s mission, vision and values, as well as an overall understanding of the Center’s operations, both internally and externally.

Core Responsibilities:

Executive Support

  • Assists the CEO in the preparation of presentations, speeches, correspondence, proposals, memoranda, articles, and other documents in a timely and accurate manner.
  • Manages CEOs calendar; sets up and schedules conference calls, appointments, and meetings (internal and external) for the CEO, ensuring that appropriate materials are prepared and available
  • Answers incoming calls in a professional and courteous manner, ensuring a positive image for the CEO; takes accurate messages; answers routine questions and/or refers caller to appropriate staff person.
  • Maintains CEOs contacts in Outlook.
  • Maintains an electronic filing system for the Office of the CEO.
  • Coordinates travel arrangements and prepares materials for travel for the CEO. Prepares expense reports for the CEO, as necessary.
  • Drafts correspondence for routine inquiries, providing additional back-up materials as needed, and reviews CEOs mail items, ensuring that all-backup information has been provided. Protects confidentiality of all correspondence/communications.
  • Submits accounts payable documentation on behalf of the CEO.
  • Assists in the planning of all staff meetings; participating in and recording minutes of meetings as requested.
  • Coordinates special events for the Office of the CEO (i.e., Holiday Luncheon, Going-Away Events and special staff events and functions) in collaboration with the rentals team and staff committee when appropriate.

Board of Directors (BOD) Support

  • Maintains BOD directory, committee assignments, calendar, email distributions lists.
  • Maintains schedules of Board member terms and participation.
  • Maintains BOD Policy Manual.
  • Coordinates BOD meetings and committee meetings and/or calls.

General Staff Support

  • Supports overall development administration activities related to prospective and current major donors and special campaign donors.
  • Maintains and distributes staff phone directory.
  • Updates Center program calendar.


You are:

  • Comfortable managing up and laterally. You are comfortable managing up to senior leaders and helping them assess the feasibility of their big ideas, and you know how to advocate for your own ideas. You know how to create buy-in with your colleagues and spur them to action when needed.
  • Innovative and grounded. You love trying new things and devising creative solutions to persistent problems. Most importantly, you know how to make it happen.
  • Passionate about the work. You are motivated by the mission of the Bender JCC and you have a deep connection and desire for this work to exist in the world.
  • Savvy and Intuitive. You are adept at communicating ideas to a range of stakeholders and you know that different settings often require different methods and tools. You understand the importance of confidentiality and demonstrate tact and diplomacy in confidential situations.

You should have:

  • At least 5 years experience in a similar responsible position.
  • A college degree or equivalent experience.
  • Desire and ability to work in a team environment.
  • Excellent computer skills, including an extensive knowledge of Microsoft Office products: Word, Excel, PowerPoint, and Outlook.
  • Ability to work a flexible schedule that includes occasional evenings, weekends and holidays, as needed.
  • Ability to register as a Notary Public.
  • Required COVID-19 vaccination.
  • Perform other duties and responsibilities as needed, required, or assigned.

Compensation & Benefits

This is a full-time exempt position, with a salary between $50-55K, commensurate with experience. The Bender JCC provides a benefits package that includes medical, dental, and vision benefits, and a flexible working environment.
